YOUR INFORMATION

Cookies and Data Policy

Last updated: 14 October 2026.

Who we are

Hesed Association is responsible for the personal information collected through www.hesedassociation.com and its event feedback form at https://hesed-event-feedback.wellside-bus-5469.chatgpt.site If you have questions about this policy or your information, contact hello@hesedassociation.com.

We handle personal information under the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations, as amended.

Information we collect

We collect the information you choose to provide when you contact us, submit event feedback or subscribe to a newsletter. Event feedback may include questions, concerns, complaints and compliments. Your email address is optional on the feedback form; without it, we cannot reply to you directly.

Our online services may also receive basic technical information, such as your internet address, browser details and the time of your visit, to operate the website and protect it from misuse.

Please keep event feedback relevant to the event. Do not include sensitive personal details, such as health information or personal religious beliefs, or private information about other people. If we receive unnecessary personal information, we will review it and remove it where appropriate.

How we use your information

We use your information to respond to enquiries, answer questions, address concerns and complaints, understand feedback, improve our materials and plan future events. Findings may also help shape newsletter content.

We do not use information submitted through the event feedback form for marketing or automatically subscribe you to a newsletter. We never sell your personal information.

Our reasons for using personal information

For ordinary enquiries and event feedback, our legal basis is legitimate interests: responding to people who contact us and improving Hesed’s events and materials. This means using information only where it is necessary for those purposes and does not override your privacy rights.

Where we rely on your consent, including newsletter subscriptions, you can withdraw it at any time. Withdrawing consent does not affect the lawfulness of earlier use.

How we use AI

We use AI tools to help organise and summarise feedback and prepare draft answers. Authorised Hesed representatives check AI analysis and substantive answers before responding or taking action. Simple emails acknowledging receipt may be sent automatically.

We do not use AI to make decisions about you that have legal or similarly significant effects without human involvement.

Service providers and sharing

We use external service providers to support website hosting, secure storage, email delivery, automated administration and AI assisted analysis. These providers handle information as needed to support those services. Access is limited to authorised Hesed representatives and people helping administer the form on Hesed’s behalf. This includes the administrator who stores the feedback in an account used with Hesed’s permission.

We do not share your information with other organisations for their own marketing. We may disclose information where required by law.

Some providers may process information outside the UK. UK data protection law requires suitable protections for overseas transfers, such as approved countries or contractual safeguards. Contact us for information about the providers and protections used for your submission.

How long we keep information

We keep event feedback, related correspondence and any contact details supplied for up to 12 months from submission. This gives us time to analyse feedback, answer questions, improve materials and plan future events and newsletter content. We delete personal information sooner where it is no longer needed.

We may retain genuinely anonymised findings beyond this period, provided they no longer identify anyone.

Newsletter subscription details are kept while you remain subscribed. If you unsubscribe, we may retain the minimum information needed to record your preference and prevent further marketing. Other enquiry records are reviewed and deleted when no longer needed, normally within 12 months of receipt. Any exception requires a specific, documented reason, such as an unresolved complaint or a legal obligation.

Cookies and similar technologies

Cookies are small files stored on your device. Websites can also use similar browser storage. These tools may help a website work, remember your choices and understand how visitors use it.

Our feedback form remembers a successful submission in your browser to help prevent accidental repeats. It also uses a security check to reduce spam and automated submissions.

The event feedback form does not include advertising or visitor analytics in its application code. Its browser record of a successful submission remains until you clear this site’s stored data. Security and hosting services may use essential technologies to operate and protect the service.

The feedback form loads fonts and a background image from external services, which receive technical information needed to deliver those files. The security check is provided by Cloudflare Turnstile; its privacy information is available at https://www.cloudflare.com/turnstile-privacy-policy/

For the main Hesed website, analytics, advertising or other optional tracking must be explained through its privacy and cookie information. Where consent is required, it must be requested before those technologies are used. These features are separate from the event feedback form.

You can control cookies and stored site data through your browser settings. Blocking essential features may affect how a website works.

Newsletters

Newsletter subscriptions are separate from event feedback. We send marketing newsletters when you have agreed to receive them. You can unsubscribe using the instructions in the email or by contacting hello@hesedassociation.com.

We do not sell subscriber details or share them with others for their own marketing. Service providers may help us deliver newsletters. Any tracking of email opens or link clicks will be explained when subscribing, with consent obtained where required.

Keeping information safe

We use appropriate measures to protect personal information against unauthorised access, loss and misuse. No online service can guarantee complete security, but this does not remove our responsibility to protect the information entrusted to us.

External links and social media

Our website and social media posts may link to other websites, including through shortened links, or include social sharing features. Those services have their own privacy policies and may collect information when you use them. Please check their policies before providing personal details.

Your rights and complaints

Depending on the circumstances, you can ask to see your personal information, correct it, delete it, restrict its use, object to its use or receive a portable copy. Where processing relies on consent, you can withdraw that consent. These rights have legal limits, which we will explain if relevant.

Contact hello@hesedassociation.com to make a request or raise a privacy concern. Requests for access are normally free, and we normally respond within one month, subject to the extensions and pauses permitted by law. We may need information to confirm your identity.

You can also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/

Changes to this policy

We may update this policy when our services or data handling change. The latest version and its update date will be available on our website.
